Partner guide

Everything you can do in the Rioko partner portal, step by step: bringing clients, working inside their accounts, creating and handing over managed accounts, paying and connecting your platform.

01Before you start

A partner account is your company's normal Rioko account, with one more portal. There is no separate login: sign in at rioko.online as usual and open the Partner portal from the menu.

  1. 1Create your company's Rioko account, with the company name and tax number filled in.
  2. 2Kapta registers your company as a partner and tells you by email.
  3. 3The account owner opens the Partner portal and accepts the Partner Terms. Only then does the portal list clients and let you invite.

02The portal in a minute

At the top you see the price your clients pay, your public link (if Kapta turned it on) and your team. Below, five tabs:

03Bringing clients

There are four ways. In each, the client ends up with a Rioko account of its own, at the partner price.

  • Public link: the page rioko.online/en/p/<your id>, with your logo. Whoever signs up there lands in To confirm.
  • Email invitation: the Invite tab, up to 50 addresses at a time and 200 emails a day. Each invitation lasts 30 days. Whoever signs up with the invited address is confirmed straight away.
  • API: your platform sends the invitations for you. See the API documentation.
  • Managed account: you create the account for the client and run it. See Managed accounts, below.

A person gets at most 2 emails from you a day, and can stop your company's invitations with one click.

04Confirming who your clients are

Whoever signs up through the public link, or accepts an invitation from another address, shows up in To confirm. You see only what the client agreed to share: company name, tax number, email and date.

  • Our client: moves to Clients and keeps the partner price.
  • We don't know them: the account stops being linked to you and the partner price ends at the next renewal. The client is told by email.

You get an email whenever a new account lands in To confirm.

05Working inside a client's account

You can enter a confirmed client's account once the client allowed it (managed accounts, from the start). Without that you see only the name and status.

  1. 1In Clients, press Enter next to the client.
  2. 2The client's dashboard opens with the "Acting as" bar at the top. Everything you do is recorded under your name.
  3. 3To move to another client, use Switch client in the bar. To go back to the portal, press Exit.

The client can withdraw the permission at any time. From the next click, you can no longer enter.

06Managed accounts

For clients you prefer to look after closely: you create the account, set up the integrations and pay the subscription, with Kapta's invoice in your company's name. The client may never sign in until you hand the account over.

  1. 1In Clients, press Create a managed account. Enter the client's legal name and tax number and confirm you have its written permission. Up to 50 a day.
  2. 2You go straight into the new account. Set up the integrations as you would in your own.
  3. 3In the Billing tab, under Integrations not paid for, choose Monthly or Annual. Your company pays, at the partner price.
  4. 4When the client wants the account, press Hand over to the client and enter its email (it cannot be one of your company's addresses).
  5. 5Kapta confirms the request and the client gets a link valid for 7 days. On accepting, the account becomes theirs and they choose whether you keep access.

A managed account can only be dropped once handed over: before that there is nobody on the other side.

07Billing

  • Referred clients pay their own subscription, at the partner price shown at the top of the portal.
  • Managed clients are paid by your company, in the Billing tab. The invoice is in your company's name and tax number.
  • Manage card opens Stripe's secure portal, with only the card and the invoices.
  • If a client cancels a subscription you pay for, you get an email with the date it ends.

08Your team

  1. 1Press Team at the top of the portal.
  2. 2Invite colleagues by email, as admins or read-only. A read-only member sees everything but changes nothing.

2 users are included in a partner account. From the third, each has a monthly cost.

09Connecting your platform

With the API, your platform invites clients and follows each one's status with nobody in the portal. The client's integrations are still set up in Rioko, by the client or by you inside its account: credentials never go through the API.

  1. 1In the API tab, press Create key (owner or admin).
  2. 2Copy the key: it is shown once. You can have up to 2 live keys, valid for up to 365 days.
  3. 3Give the key to your technical team, with the API documentation.

10Dropping a client, exporting and notices

  • Drop client: the ✕ next to Enter. The account stays with the client, you lose access, and the partner price ends at the next renewal. The client is told.
  • Export: Export CSV in Clients downloads the list, with what the portal shows.
  • Email notices: a new account to confirm, access withdrawn, a client left, invoicing problems at clients you can access (as a copy), a disputed payment, a cancelled subscription.
